Terms & Conditions


By booking a place for your child with Aquatica, you (the parent or guardian) confirm that you have read, understood, and agree to the terms below. Please read them carefully and keep a copy for your records.

1. Bookings and payments

1.1 A place is only confirmed once payment has been received in full through our booking system.

1.2 Lessons are charged on a rolling basis, with payment taken automatically on your scheduled payment date via ClassForKids.

1.3 By booking, you authorise these recurring payments to continue until you cancel in line with Section 3.

1.4 It is your responsibility to keep your payment details and contact information up to date. We are not liable for missed lessons or lost places caused by a failed or declined payment.

2. Refunds and credit

2.1 All payments are non-refundable. Where a refund would otherwise apply, we will issue an account credit instead, to be used against future lessons.

2.2 Credit is non-transferable to another family and has no cash value.

2.3 Credit rolls over to the next month/ week automatically

Note on this clause: see the short legal note at the end of this document - a blanket “no refunds” term has limits under UK consumer law, particularly where we cancel a lesson (Section 7).

3. Cancelling your child’s place

3.1 To cancel your child’s enrolment, you must give written notice (email is fine) no later than two weeks (14 days) before your next scheduled payment date.

3.2 If notice is received less than 14 days before the next payment date, that next payment will still be taken and the place will end after the lessons it covers.

3.3 Cancellation requests should be sent by email. A cancellation is only valid once we have acknowledged it in writing.

4. Missed lessons and absences

4.1 We are unable to offer refunds, credit, or make-up lessons for sessions your child does not attend, including for illness or holidays, unless stated otherwise.

5. Parental supervision and responsibilities

5.1 A parent or guardian (or a responsible adult aged 18+ nominated by you) must remain on the premises for the full duration of the lesson. “On the premises” means within the school grounds, including the car park. You may not leave the site while your child is in our care.

5.2 You remain responsible for your child before and after their lesson, and at all times when they are not in the water with their teacher (for example, in changing rooms and poolside).

5.3 Children must be supervised in changing areas in line with the venue’s safeguarding policy.

5.4 You are responsible for ensuring your child arrives changed/ready as instructed and is collected promptly at the end of the session.

6. Health, medical information and Additional Support Needs

6.1 You must disclose any medical condition, allergy, disability, or Additional Support Need (ASN) relevant to your child’s participation, safety, or learning at the point of booking and keep us informed of any changes.

6.2 This includes (but is not limited to) asthma, epilepsy, heart conditions, recent surgery, ear/grommet issues, skin conditions, sensory or communication needs, and any behavioural or developmental support needs.

6.3 We will use this information to keep your child safe and to support their learning, and we treat it confidentially (Section 11). Failure to disclose relevant information may put your child at risk and may result in their place being withdrawn.

6.4 Please do not bring your child to a lesson if they are unwell, particularly with sickness, diarrhoea (please observe the recommended [48-hour] exclusion period), a contagious condition, or a verruca that is not covered.

7. Lessons cancelled or changed by Aquatica

7.1 Occasionally we may need to cancel, reschedule, or relocate a lesson — for example due to pool closure, plant/equipment failure, staff illness, or circumstances beyond our control.

7.2 Where we cancel a lesson and cannot offer a suitable alternative, we will provide a credit or, where required, a refund for that lesson.

7.3 We reserve the right to change lesson times, days, teachers, or venues with reasonable notice. We will always try to keep disruption to a minimum.

8. Behaviour and safety

8.1 For everyone’s safety, children and accompanying adults must follow all instructions from our teachers and venue/lifeguard staff, and observe pool rules.

8.2 We reserve the right to remove a child from a lesson, or to withdraw their place without refund, where behaviour repeatedly puts the safety of others at risk.

8.3 We expect courteous behaviour towards our staff. Abusive or threatening conduct towards teachers or other families will not be tolerated.

9. Lost property and personal belongings

9.1 Aquatica accepts no responsibility for any loss of or damage to personal property, including clothing, goggles, valuables, or items left in changing rooms, poolside, or anywhere on the premises.

9.2 Please leave valuables at home and label your child’s belongings.

10. Photography and media

• Option A (consent at booking): From time to time we may take photographs or video for teaching, promotional, or social media purposes. You will be asked to give or decline consent at booking, and you may withdraw consent at any time by contacting us.

10.2 Parents and spectators must not photograph or film other people’s children at any time.

11. Data protection

11.1 We collect and process personal data (including the health information in Section 6) only to deliver our lessons and meet our safeguarding and legal obligations. We handle it in line with UK GDPR and the Data Protection Act 2018.

12. Changes to these terms

12.1 We may update these terms from time to time. The current version will always be available at Class for Kids, and continued attendance after an update constitutes acceptance of the revised terms.
